Job DescriptionsKey Responsibilities:
1. Administrative Support:
Manage office supplies inventory to ensure availability.
Handle calls, emails, and inquiries, directing them appropriately.
Organize and maintain physical and electronic files.
Maintain company data and assist with document management.
Support company activities and perform other tasks as assigned.
2. Meeting Arrangement:
Assist in scheduling appointments and meetings, and maintaining calendars.
Coordinate and schedule meetings, including booking conference rooms and arranging necessary equipment.
Communicate meeting details to participants and ensure all materials are prepared and distributed in advance.
Take meeting minutes and distribute them to relevant stakeholders as needed.
3. Travel Arrangements:
Coordinate travel arrangements for employees, including booking flights, hotels, and rental cars.
Ensure travel itineraries are communicated effectively and in a timely manner.
4. Expense Claim Processing:
Assist employees in completing and submitting expense claims accurately and in accordance with company policies.
Verify expense reports for accuracy and completeness before processing for reimbursement.
Maintain records of expense claims and ensure timely processing.
5. Reception Duties:
Greet visitors and ensure they are directed to the appropriate person or department.
Manage the reception area, ensuring it is tidy and presentable at all times.
Handle incoming and outgoing mail and deliveries.
6. Social Media Administration:
Assist in managing and updating the company's social media profiles.
Create engaging content and posts to promote company events, achievements, and updates.
Monitor social media channels for comments, messages, and interactions, responding promptly and appropriately.
7. Oversee the daily work of the company’s housekeeping staff.
Monitor and ensure that the housekeeping operations comply with the company’s standards and policies.
Working Hours: Mon-Sat, 08:00-17:00
