รายละเอียดงาน•Updating and tracking of customers’ PO from Sales and Service team.
•Provision of administrative assistance to the Service department, including generation of quotations, follow up on / acknowledgement of POs from customers (with confirmation with Service team.
• Update the PO in the DSI system of the customer who issued the PO in the quotation and attach the PO file as well to press Confirm Sale.
•Coordination between customers and Service department as necessary.
•Service Spare Parts Stock Management. Provide support to on Service spare parts management, including coordination with Service department spare parts inventory requests and issuance, receiving, unpacking, quantity verification and cleaning of received spare parts into storage, assist in monthly and yearly stock-take, etc.
•Updating of service reports and commissioning reports into DSI.
•Update commissioning reports to HQ.
• Update Service Job Record to HQ.
• Updated Stock for Import and Local to HQ.
• Updated fixed asset.
•Trigger billing to Accounts Assistant for completed service jobs (after receive of completed service reports from Service team).
•Updating and filing of training records (for ISO audit).
•Extract monthly equipment utilisation rate reports from DSI system and submit to management to review.
•Management of office cleaning lady.
•Perform reception duties, including fielding telephone calls, receiving and directing visitors, etc.
•Perform office administrative support, including management of office stationery and pantry and drinking water needs, raising of PRs for administrative needs, etc.
• Update and look after office mobile phone and laptop of employee.
• Update the invoice number in the DSI System
• Any other ad hoc duties as assigned.
• Act as back-up for team during their absences.
