Job DescriptionsThe role purpose:
This position will be responsible for Fleet administration of sales car management daily. The objective is to ensure smooth daily administrative operational and smooth coordination with stakeholders are adhered to Company objective and goal.
The role essentially requires administrative management and a service mindset to manage several documentations, and performing at quality standard level of customer (internal employee) focuses on aligning with Fleet business operations. While also able to maintain data accuracy and proficiency and well as coordination with key internal and external stakeholders.
Role Responsibilities:
Fleet Administration: 50%
Manage various kinds of administrative documents and databases in a paper format or filing in share point system.
Ensure Fleet data accuracy and accountability for both hard and soft templates.
Support Supervisor to prepare information as required such as Presentation for meeting in a suitable format, data and timeline.
Administer PR, PO, GR, Invoice and Payment procedures for both documents and systems according to SOP, quality control and time management.
Provide IFRS16 in accordance with standard financial view and contract management in IFRS system.
Raise fleet card payment in PEGA system monthly as well as maintain database in system with up-to-date information.
Responsible in reporting Mileage record, Overspeed tracking, Accident, and Traffic violation in appropriate lead-time.
Manage Easy pass for salespeople with up-to-date data and services proficiency.
Fleet Coordination: 50%
Being standby for daily inquiries about car movements, equipment, issues and support needed from employees in such general requirements.
Well coordination with the preferred suppliers or dealers for efficient fleet operations.
Closely monitor with traffic violation tickets sent from the police authority to manage further actions of consequence management.
