Recruit & Onboarding Employment Admin
•Recruitment Administration:
- Coordinate with Recruitment Teams and new hires to provide guidance on document preparation before starting work.
- Follow up and verify the accuracy of documents and information before issuing employment contracts.
- Send employment contracts to new employees via Docusign.
•Onboarding for New Employees:
- Verify new employee information from Band 5 (53-54) and Band 4 before entering the system.
- Check data and coordinate with HRBP to prepare for onboarding new employees from JB3 and above.
- Support reporting on new employee data to relevant departments.
•Employee ID Management:
- Coordinate with new employees and those needing replacement ID cards to gather photos and relevant information.
- Collect photos and data for new employees for entry into the HR-eXp system
- Coordinate with Bangkok Bank to send data and photos for employee ID creation.
- Notify employees when their ID cards are ready for pickup.
•Company Polo Shirt Preparation:
- Communicate with new employees to specify shirt sizes in the HR-eXp system.
- Manage size data from the system and prepare shirts categorized by business unit.
- Coordinate with HR for the collection of prepared shirts.
•HR Agent Onboarding:
- Serve as the point of contact for answering questions and addressing issues from employees creating tickets related to onboarding in the Ask HR system.
Workforce Service Administration
Employee & Org Data Management
•Employee Record Maintenance:
- Record new hire history for monthly and daily employees, ensuring documentation is accurate in the HR-eXp system.
- Record and scan the history of Band 5 employees for monthly and daily data in the Smart DMS and store documents in the Document Center.
•Employee Data Change Management:
- Review, record, and approve changes to employee details (e.g., name, address, marital status, family information).
- Manage promotions, transfers, probation completions, and disciplinary actions.
- Verify the recording of employee separations.
- Employee history (Telephone number, email address, beneficiary, employee photo, educational background social security number Foreign workers.)
- Verify the recording of termination of employee status.
•Promotion Management:
- Compile a list of employees eligible for promotion to send to HRBP across all business units.
- Summarize budget information and prepare presentation files for promotion considerations.
- Present promotion recommendations to CPO and CEO.
- Create appointment announcements, flowers, and congratulatory cards.
- Notify employees of promotion outcomes and changes in benefits via email.
- Send promotion documentation to the payroll accounting department.
•Retirement Management:
- Compile a list of employees eligible for retirement and those hired post-retirement.
- Summarize information for presentation to CPO, CEO, and Board Chairman for approval.
- Prepare documentation for HRBP to present for signing authority.
- Manage retirement documentation and compensation for submission to the payroll department.
