LocationKey Responsibilities:
Reception Duties:
• Greet and welcome guests, clients, and employees with a professional and friendly attitude.
• Answer, screen, and direct incoming phone calls.
• Manage incoming/outgoing mail and coordinate courier services.
• Maintain visitor logbooks and issue visitor passes.
Administrative Support:
• Assist with general administrative tasks such as filing, copying, scanning, and data entry.
• Maintain and order office supplies, pantry items, and stationery.
• Coordinate office maintenance, repairs, and service vendors.
• Arrange internal meetings, bookings, and logistics (e.g., meeting room setup, refreshments).
PR/PO and Procurement Support:
• Prepare and process Purchase Requisitions (PR) and Purchase Orders (PO) in the system.
• Coordinate with vendors for quotations, invoice follow-up, and payment status.
• Track and record all PR/PO documents and ensure compliance with company procurement policies.
Employee Engagement Activities:
• Support planning and execution of employee engagement initiatives such as monthly events, wellness activities, holiday celebrations, and team-building events.
• Help coordinate internal communication related to events, announcements, and HR campaigns.
• Maintain participation records and provide event feedback to HR.
Admin Reporting:
• Prepare and submit regular administrative reports, such as office expense tracking, supplies usage, and vendor performance.
• Maintain accurate records for contracts, service agreements, and compliance documentation.
• Support management with periodic reporting on office operations and administrative KPIs.
