Job Descriptions
The Receptionist & Office Administrator is the first point of contact for visitors and callers and plays a vital role in maintaining a professional and efficient office environment. This role combines front desk duties, administrative support, and key functions in office operations, employee engagement, PR/PO processing, and reporting.
Qualifications
  1. Bachelor’s Degree or Diploma in Business Administration, Office Management, or related field.
  2. 1–3 years of experience in administration, front office, or office coordination.
  3. Strong command of written and spoken English.
  4. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  5. Experience with procurement or ERP systems is a plus.
  6. Good interpersonal, organizational, and multitasking skills.
  7. Energetic, service-minded, and able to work under pressure.

Key Responsibilities: Reception Duties: • Greet and welcome guests, clients, and employees with a professional and friendly attitude. • Answer, screen, and direct incoming phone calls. • Manage incoming/outgoing mail and coordinate courier services. • Maintain visitor logbooks and issue visitor passes. Administrative Support: • Assist with general administrative tasks such as filing, copying, scanning, and data entry. • Maintain and order office supplies, pantry items, and stationery. • Coordinate office maintenance, repairs, and service vendors. • Arrange internal meetings, bookings, and logistics (e.g., meeting room setup, refreshments). PR/PO and Procurement Support: • Prepare and process Purchase Requisitions (PR) and Purchase Orders (PO) in the system. • Coordinate with vendors for quotations, invoice follow-up, and payment status. • Track and record all PR/PO documents and ensure compliance with company procurement policies. Employee Engagement Activities: • Support planning and execution of employee engagement initiatives such as monthly events, wellness activities, holiday celebrations, and team-building events. • Help coordinate internal communication related to events, announcements, and HR campaigns. • Maintain participation records and provide event feedback to HR. Admin Reporting: • Prepare and submit regular administrative reports, such as office expense tracking, supplies usage, and vendor performance. • Maintain accurate records for contracts, service agreements, and compliance documentation. • Support management with periodic reporting on office operations and administrative KPIs.
